Luxe World Travels – Group Trip Terms & Conditions

Payment Terms & Schedule

Payments are accepted online only via major credit or debit card. We do not accept checks, money orders, or cash.

For guests using third-party financing options such as Klarna or AfterPay, your payment schedule will follow the terms set by those providers.

All payments, including deposits, are non-refundable and non-transferable.

This policy ensures contractual commitments with our hotel, airline, and tour partners.

Price Inclusions & Exclusions

All reservations are based on double occupancy (twin-sharing) with another traveler unless a single room upgrade is requested and paid for in advance.

Prices include accommodations, scheduled group transportation, activities, and meals as specified in the itinerary.

Prices do not include international airfare unless a international airfare upgrade is requested and paid for in advance. However, when a domestic flight within an international destination is included, it will be specified in the itinerary.

Prices do not include travel insurance, visa fees, personal expenses, optional tours, or gratuities.

Luxe World Travels curates unforgettable experiences with precision and care. However, certain elements—especially outdoor activities such as boat days, beach excursions, or nature-based adventures—are subject to change due to weather conditions or circumstances beyond our control (e.g., vendor cancellations, local regulations, etc.).

We reserve the right to modify the itinerary at any time in the interest of safety, guest experience, or logistical feasibility. In the event of such changes, Luxe will always provide a high-quality alternative of equal or greater value. Your joy and peace of mind remain our top priority.

Meals: 

Only meals specified in the itinerary are included. While we will make every effort to

accommodate dietary restrictions, requests must be submitted at least 30 days before travel.

Identification & Travel Documents

The name used for your reservation must match exactly as it appears on your valid passport or government-issued ID. Name corrections may incur a fee.

Passports: Required for all international travel and must be valid for at least six months

beyond the travel dates. Travelers are responsible for obtaining and carrying a valid passport.

Visas: Some destinations require an entry visa. Travelers are responsible for checking with respective consulate and obtaining the required visas. Luxe World Travels does not facilitate visa processing. Some countries require a full blank “VISA” page in the passport for stamping

purposes.

Travel Insurance: Strongly recommended to cover cancellations, medical emergencies, and trip interruptions. Luxe World Travels is not responsible for expenses due to trip delays,

cancellations, baggage loss, or medical emergencies and more.

Travel Documents: Provided full payment is received no later than your Final Payment Due, travel documents and travel instructions will be sent via email and/or mail 30 days or earlier before travel. Children under 18 must be accompanied by an adult. The minimum age for

children on tours is 16. Accompanying adults are responsible for the safety of their children.

If a person under 18 years will be traveling with an adult other than his/her parents or with only one parent, a notarized letter written by the parents, or non traveling parent, granting authorization to travel, including dates of travel, should be carried.

Name Corrections:

Name corrections due to incorrect information being provided will incur a fee of $200, with additional fees for hotel, airline and cruise bookings if applicable.

Hotel Accommodations

Room selection is based on hotel management availability and is typically Run of House. Specific room types cannot be guaranteed.

Service animals are not permitted in hotel accommodations.

Travelers must consider late-night flights when booking their arrival, as check-in is based on the hotel’s policy. Early arrivals may require additional hotel nights at the traveler’s expense.

Travelers with Disabilities

Many international destinations do not have ADA-compliant accommodations,

transportation, or facilities. Ramps, elevators, or accessible restrooms may not be available.

Travelers requiring mobility assistance must be accompanied by a caregiver at their own expense. Luxe World Travels does not provide personal care or mobility assistance.

Cruise Travel

Cruise itineraries, ports, and schedules are subject to change by the cruise line without notice. Luxe World Travels is not responsible for itinerary modifications, weather-related delays, or missed ports.

Cabin assignments are made by the cruise line and cannot be guaranteed.

Travelers must arrive at the port on time for embarkation. If they miss departure, rejoining the cruise is at their own expense.

Transportation & Tour Expectations

Travelers must not request separate transportation from tour companies or drivers. All group transportation must be followed as scheduled.

Early morning sightseeing tours require travelers to be at the designated meet-up location on time. If a traveler is late, they may be left behind and will be responsible for their own

arrangements.

Luxe World Travels is not responsible for providing transfers for missed flights but all make every effort to accommodate.

If travelers book separate tours outside the group itinerary, Luxe World Travels is not responsible for providing transportation for those bookings.

Luggage Policy:

Airline Checked Bags: Airlines typically limit checked baggage to 62 inches (total dimensions) and 50 lbs. Baggage fees and excess weight charges are your responsibility.

Group Tour Luggage: Each traveler may bring one checked bag and one carry-on. Additional luggage incurs a $100 handling fee per piece.

Luxe World Travels is not responsible for lost, stolen, or damaged luggage.

Tipping Guidelines

Drivers (including private cars & buses): $5-$10 per person per day Tour Guides: $10-$20 per person per day

Group Conduct & Travel Behavior

Luxe World Travels reserves the right to dismiss any traveler who creates an uncomfortable or disruptive environment for the group.

If a traveler engages in behavior that negatively impacts the experience of others (including but not limited to aggression, harassment, intoxication, or non-compliance with group

schedules), Luxe World Travels may remove them from the trip at their own expense, and no refund will be issued.

Roommate Matching

Roommate matching is available for female travelers on most trips. Roommates will be assigned no later than 30 days before departure.

Cancellations & Chargebacks

Due to contractual agreements with hotels, airlines, and vendors, all payments are non-refundable and non-transferable after 24 hours of the initial deposit. This way, we can keep our package prices competitive and allow you to make monthly payments.

If you experience payment issues or need to discuss a dispute, please contact Luxe World Travels before fling a chargeback with your bank.

Filing a chargeback without contacting us first may result in reservation cancellation and restriction from future travel with Luxe World Travels.

Once a reservation has been made, cancellations will only be accepted in writing. Email your cancellation request to info@luxeworldtravels.info with your full name and travel date.

Once your email has been received you must fill out the cancellation request form. If you do

not receive acknowledgment in 48 hours please call 404-737-3917 to be sure your information was received.

Medical Services & Health Requirements

Most group trips do not include a doctor or nurse onboard. If medical attention is required, local services will be contacted at your expense. Luxe World Travels is not responsible for any medical care received.

Travelers should consult their healthcare provider regarding required vaccinations and health precautions. Visit the CDC or WHO for up-to-date travel health information.

Participants with chronic illnesses, heart conditions, pregnancy, or other health concerns should evaluate the physical demands of travel.

If a traveler becomes ill and is removed from the group for medical treatment, they may only rejoin the group with medical clearance. Any additional costs incurred due to illness (e.g.,

extra hotel stays, transportation) are the traveler’s responsibility.

Force Majeure (Unforeseen Circumstances)

Luxe World Travels is not liable for cancellations, delays, or modifications caused by: Natural disasters (earthquakes, hurricanes, floods)

Acts of war, terrorism, civil unrest, or government actions Pandemics, public health crises, or travel bans

Airline strikes, mechanical failures, or weather-related delays

If an event outside our control affects the trip, we will work to offer alternative arrangements but cannot guarantee refunds.

Passenger Agreement & Liability Waiver

All travelers must sign a Passenger Agreement before departure, acknowledging these Terms & Conditions. Luxe World Travels is not responsible for personal injury, property loss, delays, or disruptions due to:

Acts of God, natural disasters, weather, government actions, or political unrest Mechanical failures of transportation (flights, buses, ships, etc.)

Health risks, including disease outbreaks, lack of medical access, or foodborne illness

Accidents, theft, or actions of third-party service providers (e.g., hotels, airlines, tour operators)

Dangers associated with bites, animals, pests, insects, marine life, vegetation of any sort, dangers due to recreational activity, swimming, kayaking, sailing, canoeing, rafting, hiking,

walking, biking, food poison, sanitation, or any other cause beyond the direct control of Luxe World Travels.

By booking, you voluntarily assume these risks and release Luxe World Travels from any liability for personal injury, illness, or death. I release Luxe World Travels from its own negligence and assume all risk thereof.

Assumption of Risk & Release of Liability

By booking, travelers acknowledge the risks of international and group travel, including but not limited to:

Unfamiliar environments, cultural differences, and varying safety standards Limited access to medical services or emergency response

Natural disasters, political unrest, or health risks Theft, personal injury, or loss of belongings

Travelers voluntarily assume these risks and agree to hold Luxe World Travelers harmless from liability for personal injury, illness, property loss, or trip disruptions.

Binding Arbitration Clause

Any disputes related to this agreement will be resolved exclusively through binding arbitration under Georgia law. By booking, you waive your right to a jury trial and agree that arbitration will take place in Atlanta, GA.

Knowing and Voluntary Participation

I acknowledge that I have voluntarily applied to participate on this trip and I have read the description of the trip a it appears in the current Luxe World Travels website relating to this

trip, together with all information combined in this application. I am voluntarily participating with knowledge of the hazards involved.

I have carefully read these Terms and Conditions and the booking information sections of this document and fully understand its contents. I am aware that this is a release of liability and a contract between myself and Luxe World Travels, and I agree of my own free will. By signing, I agree to these Travel Terms & Conditions from Luxe World World Travels and release from Liability, Assumption Of Risk, and Binding Arbitration Clause for myself, each member of my

traveling party, and any minor children accompanying me.

Photographic Release

Luxe World Travels may capture photos and videos during trips for marketing purposes. By participating, you grant permission for your likeness to be used in promotional materials without compensation.
